Terms and Conditions

A) Reservation Policies 

Our rates are quoted in US dollars, but Hertz Costa Rica retains the right to adjust rates based on business conditions, with any modifications being communicated through updates on our website rates subject to change at any time. In instances where reservations coincide with both High and Low seasons, the applicable rate for the entire period will be the rate in effect on the first day of the rental.

Upon collecting the pre-paid rental, drivers are required to physically present the credit card used for online prepayment. This same card is essential for canceling the full-service amount.

By utilizing the Online Payment Service, you become eligible for a special discount on your time and mileage rate. To avail of this discount, the whole amount or partial amount could be requested in advance with the same credit card to present at the desk on your pick up date, any reservation request could be confirmed within the next 24 hours.

While each rate reservation is confirmed, any modifications may incur extra charges at the current rate for additional days.

 

B) Cancellation and No Show Policy 

In case of cancellation or no-show, Toyota Rent a Car will not refund any amount prepaid or charged to your Credit Card through the On-Line Payment Service.

 

C) Credit or Debit Card 

Credit or debit card used to complete an online prepaid reservation must be presented at the rental pick-up counter as a form of payment along with identification. Debit Cards ARE NOT ACCEPTED for security deposits, because the process of releasing the holdings might take up to 45 workings days.

Security deposit required for the rental ranges from $1000 to $5000 with credit card.

 

D) Delayed Collections/ No show policy 

Reservations will be held for 2 hour from the specified reservation time after which they will be classed as a no-show. If a customer arrives after this time then a vehicle is not assured. We will do everything possible to provide a vehicle. This may include offering a different vehicle and rates may be different from the original booking.

Flight numbers provided are for informational purposes only. It is the responsibility of the customer to inform the location of any delays.

 

E) Early Returns/Unused Rental Days 

No refunds (partial or full) will be given for rentals ended early, late collections, no shows, or cancellations made after the rental start date.

 

F) Late Returns 

A vehicle is hired for a contracted period as detailed on the rental agreement. The return day and time as selected by the customer at the time of booking will be enforced regardless of the delayed pickup time. If the vehicle is returned outside the grace period, there will be a charge of an additional day or a late fee. Grace period: 1 hour

 

G) One-Way Policy / Drop-Off policy & Charges 

You must return the Vehicle to the Designated Return Location identified in the Agreement. Express Car Return may be available at certain locations, which allows for expedited drop-off. However, if you wish to return the Vehicle to a location other than the Designated Return Location, you must contact us prior to the designated return time. We may either deny this request or, if granted, apply different rates and additional fees, which could increase your total cost.

Please be aware that any pickup and drop-off at the airport parking lot will be subject to applicable parking expenses and administrative fees, which are your responsibility. When planning your return, please account for these potential charges.

 

H) Responsibility for Damage, Loss, or Theft of the Vehicle and Additional Accessories 

The customer assumes full responsibility for the rented vehicle and any additional accessories included during the rental period. This responsibility includes, but is not limited to, damage to the bodywork, mechanical parts, interior, tires, windshield, vehicle keys, tools, emergency kit, and any other component of the vehicle, as well as total loss or theft of the vehicle itself. Responsibility also extends to any additional accessories provided with the vehicle, such as GPS, Wi-Fi, racks, or pet covers, if they were included with the vehicle. The customer will be liable for any loss, damage, theft, or failure to return these items at the end of the rental period.

The customer is also responsible for any damage to third-party property or injuries to individuals resulting from the use of the rental vehicle. All costs related to such incidents, including medical expenses, property repairs, and other legal liabilities, will be charged to the customer.

Additional coverage options are available to limit the customer's liability for vehicle damage or third-party claims. However, this coverage does not extend to rented equipment or accessories or to vehicle keys. Toyota Rent a Car will impose charges for lost or damaged keys, as well as for the loss or damage of the emergency kit and its components or any additional equipment included.

Please note that additional coverage does not apply in cases of negligence, including but not limited to: driving under the influence of alcohol, drugs, or other illegal substances; reckless driving or violation of traffic laws; improper use of the vehicle; or use on unsuitable terrain, including unofficial roads, rivers, beaches, lakes, trails, paths, or any surface not intended for vehicular traffic. In the event of vehicle theft and failure to return the keys, the renter will be deemed negligent. Lost or damaged keys, the emergency kit, and similar items are not covered under these additional coverages.

Repair, replacement, or substitution costs for any part or accessory, or the vehicle itself, will be based on market rates and will be charged directly to the customer.

 

I) Pets or Animales

Pets are not allowed in our vehicles. Only officially identified guide or support animals are permitted.

Toyota Rent a Car requires the use of a seat cover for these guide or support animals. Seat covers are available for rent; however, this does not exclude the possibility of additional charges for cleaning or disinfection if necessary. The vehicle must be returned in a clean condition, free of animal hair, biological residue, or odors.

The customer is responsible for any damage caused by the guide or support animal and will be liable for any cleaning or disinfection costs incurred.

 

J) Fines, Penalties, and Administration Charges

Each hirer is responsible for covering the cost of any parking fines and traffic violations incurred during the rental period. If Hertz Costa Rica is required to administer these charges, an administration fee will be applied to the customer.

Hertz Costa Rica will not be held responsible for any incidents involving driving under the influence of alcohol or drugs, willful damage, off-road driving, or driving without due care and attention. The customer will be fully responsible for such claims. This list is not exhaustive.

 

K) Vehicle Trackers

Some of our vehicles contain tracking devices that will be used by our data protection policy.

 

L) Administration charges for cancellations and modifications on reservations 

If a reservation is not collected or canceled before the start time, Hertz Costa Rica will impose a charge.

For reservations made online, the no-show/cancellation fee will equal the pre-paid deposit, and no refund will be issued.

The charges for no-shows, cancellations, and reservation modifications are as follows:

  • 7 or more days before the start date: $15
  • 3-6 days before the start date: 50% of the total reservation value
  • 2 days before the start date: 75% of the total reservation value
  • 0-1 days before the start date: 100% of the total reservation value

For bookings valued at less than $15, no refund will be issued regardless of when the cancellation request was made.

The notice period is based on a 24-hour day, up to the start time, not a calendar day.

Hertz Costa Rica will not be held responsible for customers who do not meet the rental requirements. If the specified requirements are not met, no refund will be issued.

Last-minute reservations (bookings made and picked up on the same day) are not eligible for any refund in case of cancellation.

These terms and conditions were last issued in August 2018 and are subject to change at any time.

M) Insurance Policy / Security Deposits

Keep in mind that most vehicle insurance policy outside of Costa Rica doesn’t offer coverage in the country. Liability insurance contracted on third-party travel websites is not an acceptable form of coverage. The employees of the local office of the rental company are not qualified to evaluate the suitability of the personal insurance of the customer's vehicle. The client should contact their insurance company in advance to raise any questions related to the coverage in question. In addition, if the client provides valid proof of current coverage in Costa Rica and rejects the CDW, he will be responsible for the total value for damage or loss of the vehicle and will retain an additional authorization of 5000 USD on his credit card at the time of rental.

If the client declines the CDW coverage will need to present a credit card and written proof from the bank stating that the credit card provides this protection. The letter from the bank must indicate the name of the beneficiary of the protection, the last 4 digits of the card to be used, and the maximum term of coverage. The amount of the security deposit may change upon declining CDW protection. In case of accident, we will process all charges to the credit card and will provide all the paperwork, so the client can proceed with the reimbursement from the bank.

 Guarantee deposits go from $1.000 to $5.000 depending on the type of coverage and vehicle selected.

N) Coverages

Coverages purchased on third-party websites or insurance companies are not accepted by Toyota Rent Car Costa Rica. The purchase of 
TPL Third Party Liability.Insurance always mandatory. TPL cannot be declined by any Credit Card, protects from third party claims for damages caused to a third party vehicle with a minimum deductible of US$500 up to a maximum deductible of 20%.

 

O) Previous Deposit

If Toyota Rent a Car agrees, it can demand that the customer make a deposit before the signing of this contract, to guarantee the rent of the car or any other benefits to which it is obliged. If the deposit is insufficient, the customer must satisfy any difference that exists at the time of the return of the car. Toyota Rent a Car may require this deposit through the customer's credit card.

 

P) Driver License Requirements

The primary driver must be at least 21 years old. If the driver is between 19 and 21 years old, an additional charge of US$10 + taxes per day will apply.

Both the primary renter and any additional drivers must present a valid and current Driver's License. Digital driver licenses are not accepted.

The Driver's License must be valid for a minimum of 6 months before its expiration date and must have been issued for the first time at least 6 months before the rental period. For UK license holders, in addition to photo identification, the DVLA verification code is required, which can be obtained from the DVLA website.

Driver's Licenses must be written in Latin, English, or Cyrillic characters. Otherwise, an International Driver's License will be required. Only a valid and original copy of the driver's license will be accepted, which must include a photo identification.

If a customer arrives at the rental counter without the required documentation mentioned above, the reservation will be canceled without the option of refund if it has been prepaid.

 

Q) Fuel Policy 

Pick up full, return full. Your vehicle will be supplied with a full tank of fuel. To avoid incurring fuel charges you will need to return it full. Missing fuel will be charged on your return. The price per liter charged by the rental agent may be significantly higher than the price at the local service station.

No refunds will be given for unused fuel. Fuel charges are payable at the rental desk.
You can add a Pre-Paid Fuel service, so you can return the tank empty and avoid any charges.
